The Daily Ad Management Routine of a Six-Figure Media Buyer

Why Routine Matters

The difference between a good media buyer and a great one isn't talent — it's discipline. Great media buyers follow the same routine every day, checking the same metrics in the same order, making decisions based on the same frameworks. This consistency catches problems early, prevents emotional decision-making, and compounds small optimizations into significant performance improvements over time.

Morning Check (9:00-9:30 AM)

The morning check is about yesterday's performance. Open your dashboards and review in this order:

Step 1: Check Blended MER

Before looking at any platform, check your overall marketing efficiency. Total revenue from Shopify divided by total ad spend across all platforms. Is MER above your target? If yes, proceed with normal optimization. If MER is below target for 3+ consecutive days, shift into diagnostic mode.

Step 2: Platform-Level Review

For each platform, check total spend versus budget, review CPA against your target, look at ROAS directionally, and note any significant changes from the previous day.

Step 3: Campaign-Level Scan

Quickly scan each campaign's performance looking for anomalies: a campaign that suddenly spiked in CPA, a retargeting campaign that stopped spending, or a creative testing campaign where a new ad shows early promise. Don't drill into ad-level details yet.

Step 4: Apply Kill Rules

Review any ads that hit their minimum spend threshold since yesterday. Apply your kill rules systematically: kill ads at 2x CPA with zero purchases, kill ads at 3x CPA with poor efficiency, pause ads showing 3-day declining trends. Document what you killed and why.

Midday Check (1:00-1:15 PM)

This is a quick pulse check — 15 minutes maximum. Look for ads spending abnormally fast today. Check if any ads launched this morning show early signals. Verify that total daily spend across platforms is on pace with your budget. Don't make major decisions during the midday check — just observe and flag anything for tomorrow's morning check.

Afternoon Action Block (3:00-4:00 PM)

This is your execution window for proactive work that improves future performance.

Creative Management

Review creative test results from ads running 3+ days. Graduate winners to your main prospecting campaign. Brief new creative based on learnings from recent tests. Upload and launch new creative for testing.

Budget Adjustments

If you're scaling, make budget increases during this window. Review budget allocation across platforms and campaigns. Shift budget from underperforming areas to outperforming areas.

Audience Management

Refresh lookalike audiences monthly. Check for audience overlap across ad sets. Test new audience segments if current ones are saturating (frequency above 2.5).

Weekly Deep Dive (Monday Morning, 1-2 Hours)

The weekly review is where strategic improvements happen.

7-Day Performance Analysis

Review the full week's performance by platform, campaign, ad set, and ad. Look for trends that daily checks miss: slow CPA creep, gradual CTR decline, frequency building up. Compare this week to the previous week and the same week last month.

Creative Performance Review

Rank all active ads by ROAS and CPA over the past 7 days. Identify your top 3 and bottom 3 performers. What makes the top performers work? Use these insights to brief next week's creative production.

Budget and Allocation Review

Is your budget allocation across platforms matching performance? If Google delivers 3x ROAS and TikTok delivers 1.5x, should you shift budget? Run the numbers and make allocation changes for the coming week.

Competitor and Market Check

Spend 15 minutes checking competitors' ads in the Meta Ad Library and TikTok Creative Center. Are they running new angles you haven't tested? Use this for creative inspiration, not imitation.

Monthly Review (First Monday, 2-3 Hours)

Once a month, zoom out even further. Review month-over-month trends in MER, CPA, ROAS, and new customer acquisition. Reconcile ad platform reported revenue against actual Shopify revenue to track your overcounting rate. Update your unit economics calculation with current COGS, shipping, and return rate data. Set goals and priorities for the coming month.

This routine might seem rigid, but that's the point. Consistent daily management prevents the two most common ad management failures: neglect (not checking often enough, missing problems) and overreaction (checking too often, making emotional changes based on hourly fluctuations).
